JOB TITLE       :    Warehouse Assistant

DEPARTMENT  :   Procurement and Supply Chain

REPORTS TO   :    Warehouse Officer

 

DUTIES AND RESPONSIBILITIES:

  1. Receiving and Dispatching
  • Receives Inventory items from suppliers in accordance with standard operating procedures at all times and coordinates the offloading of inventory and commodities
  • Fill is appropriate documents for all inventory items being dispatched to all PSI warehouses
  • Counts inventory items of incoming shipments in order to verify information against delivery notes or invoices.
  • Checks that items received are in accordance with what was ordered by comparing delivery notes/invoices from supplier with purchase orders, bill of lading, airway bills and other records
  • Receives inventory requests/orders from partners and departments within PSI
  •   Conducts physical inspection on inventory items before issuing.
  1. Administration
  • Collects and compiles daily stock usage reports from Counsellors for capturing in Quick Books (QBE)
  • Take part in the monthly inventory counts in the main warehouse
  • Take part in the quarterly PSI warehouses stock counts
  • Assist in the compilation of monthly main warehouse inventory movement reports for filling
  • Conduct  monthly  cycle  counts  to  inform  re-order  level  for  stock  items  for  purposes  of replenishment.
  • Verifies that the items received conform to quality and quantity by inspecting every Goods Received Note (GRN) for those inventory items marked for storage in the warehouse.
  • Assist in ensuring that procured inventory items are separated by project codes in the main warehouse
  • Captures all generated inventory stock issuances and usage reports in QBE
  • Inspect and observe annual inventory counts
  1. Health and Safety
  • Advises on health and safety issues that need attention in the warehouse.
  • Quality Assurance
  • Check and communicate expiry dates for commodities received in line with the organisational policy
  • Ensure compliance of warehousing internal policies and standards

 

QUALIFICATIONS AND EXPERIENCE

  • Diploma in procurement or supply chain management or business management
  • Degree in a related field
  • Qualification in Supply Chain Management, Logistics or Stores Management will be an added advantage
  • 1 years working experience.
